What Data We Collect And Why

When you place an order:

• Your name and email address — so we can confirm your order and contact you if anything needs clarifying

• Your recipient's name and postal address — so we can address and post your letter to the right person

• The content of your letter — so we can print it accurately

• Your uploaded photographs — so we can print and enclose them with your letter

• Payment information — processed directly by Stripe, we never see or store your card details

When you join the waitlist:

• Your name and email address — so we can let you know when Kith launches or when something changes

Your Photographs — What Happens To Them

This is the part of our data handling that matters most, and we want to be completely straight with you about it.

When you upload photographs as part of your order, here is exactly what happens:

• Your photos are received via our order form, hosted by Tally

• We download them to a secure device for the sole purpose of printing and enclosing with your letter

• We do not share your photographs with anyone other than our print fulfilment partner, solely for the purpose of printing them

• Your photographs are permanently deleted from our systems and devices within 7 days of your letter being confirmed as posted

• We do not use your photographs for any other purpose — not for marketing, not for social media, not as examples of our work, nothing

The photographs you upload are personal. They belong to you, and to the people in them. We treat them that way.

How Long We Keep Your Data

• Your name and Email- Up to 2 years, or until you ask us to delete it

• Recipient name and address- Deleted within 30 days of your order being fulfilled

• Letter content- Deleted within 30 days of your order being fulfilled

• Uploaded photographs- Deleted within 7 days of your letter being posted

• Payment records- 7 years, as required by HMRC for tax purposes

• Waitlist email- Until Kith launches or you ask to be removed

Who We Share Your Data With

We share data with the following third parties only where necessary to fulfil your order:

Tally — our order form provider. Receives your order submission including uploaded photos. Tally's own privacy policy applies to data held on their platform: tally.so/privacy

Stripe — our payment processor. Handles payment data directly. We never see your card details. Stripe's privacy policy applies: stripe.com/privacy

Squarespace — our website platform. Hosts yourkith.co.uk and processes basic analytics. Squarespace's privacy policy applies: squarespace.com/privacy

Airtable — our order management system. Stores order details (name, address, letter content, photo links) for fulfilment tracking. Airtable's privacy policy applies: airtable.com/privacy

We do not sell your data. We do not share your data with advertisers. We never will.

Your Rights Under UK GDPR

You have the right to:

• Access the personal data we hold about you

• Correct any inaccurate data we hold

• Delete your data (the right to be forgotten)

• Restrict how we process your data

• Object to us processing your data

• Data portability — receive your data in a usable format

If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 111

This site uses Plausible Analytics, a cookieless analytics tool that does not track individual visitors, does not use advertising cookies, and does not share data with third parties. Squarespace may set essential cookies required to operate the site. No advertising or tracking cookies are used on yourkith.co.uk.

Legal Basis For Processing

We process your personal data under the following legal bases:

• Contract — processing your name, address, letter content and photographs is necessary to fulfil the order you have placed with us

• Legitimate interests — retaining your email address to contact you about your order and, where you have opted in, to send occasional updates about Kith

• Legal obligation — retaining payment records for 7 years as required by HMRC

Children

Kith is not directed at children under 13. We do not knowingly collect personal data from children under 13. If you believe a child has submitted data to us, please contact sam@yourkith.co.uk and we will delete it promptly.
